Privacy Policy — Echelon

Who this applies to

Echelon is intended solely for our current employees and authorized personnel. You must be issued an account by the Company to use it.

Information we handle

• Account & identity information — your name, work email, phone number, and the mailing address, emergency contact, and date of birth you or the Company record on your employee profile.
• Employment records — information tied to your job that you or the Company enter through the app, such as certifications and licences, time-off and sick records, expense, mileage and pay-advance requests, equipment/vehicle borrow records, and your saved signature.
• Photos and files you attach — images you capture or select, such as expense receipts, inspection or defect photos, and proof-of-insurance documents.
• Device and notification information — a push-notification token and basic device identifiers so we can send you notifications and so an authorized administrator can manage or block a lost or compromised device.
• Technical information — standard information needed to operate a networked app, such as your authentication session and app version.

We do not collect your device’s location. We do not use advertising identifiers, ad networks, or third-party analytics/tracking.

How we use this information

• To provide the app’s features (your profile, requests, certifications, directory, fleet information, borrowing, and related workflows).
• To send you notifications relevant to your work (e.g. request decisions, reminders).
• To secure your account and the app — for example, verifying your account is active on each request and letting an administrator block a device.
• To meet our legal, payroll, and record-keeping obligations as your employer.

Camera, photos, and notifications

The app asks for permission to use your camera (to scan material QR labels and capture inspection/defect photos), your photo library (to attach receipts, photos, and documents), and to send push notifications. You can decline or later change these in your device settings; some features won’t work without them.

How information is shared

We do not sell your information, and we do not share it with third parties for their own purposes. Information is transmitted only to our own backend systems. We use a small number of service providers that process data on our behalf and under our instructions, limited to:

• Push-notification delivery (Expo, and Apple and Google’s push services) to deliver notifications to your device;
• App delivery and hosting infrastructure used to run the app and its backend.

We may disclose information if required by law, or to protect the rights, safety, and property of the Company, our personnel, or others.

Data storage and security

Information is transmitted over encrypted connections (HTTPS). Your sign-in token is held in your device’s secure storage. Company data is stored on our systems, protected by access controls including per-request account checks and the ability to block a device.

Retention

We keep employment-related information for as long as you are employed and afterward as required for legal, payroll, and record-keeping purposes. Records in the app are controlled by the Company.

Your choices and rights

Because Echelon holds employment records controlled by the Company, requests to access, correct, or delete your information are handled through the Company. Some profile changes can be requested in the app and are reviewed by HR. To make a request or ask a question, contact us using the details below. Depending on where you live, you may have additional rights under applicable privacy law (for Canadian employees, PIPEDA / applicable provincial legislation).

Children

Echelon is a workplace app and is not directed to or intended for children.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the effective date above.
